What Every Freelancer Invoice Must Include to Be Legally Valid

Universal Requirements (All Jurisdictions)

Regardless of where you or your client are located, every invoice must include: your full legal name or business name, your address, the client's full legal name and address, a unique invoice number (for your records and theirs), the invoice date, an itemised list of services or products with individual prices, the total amount due, and payment terms (due date or net payment period).

United States Specifics

US freelancers are not required to add sales tax for most services, but if you sell physical products or certain digital goods, state sales tax may apply depending on nexus rules. If you earn over $600 from a single US client, they must issue a 1099-NEC. Your invoice should include your SSN or EIN if the client requests it for this purpose.

UK Specifics

If you are VAT-registered (turnover above Β£90,000), your invoice must include your VAT registration number, the VAT rate applied, the VAT amount, and the net amount excluding VAT. Non-VAT-registered freelancers do not need to add VAT. All invoices must be kept for 6 years.

EU Specifics

EU VAT rules require that B2B invoices between EU countries include the VAT identification number of both parties, the supply date, a reverse charge statement if applicable, and the invoice must be in the local language or agreed language. The EU requires invoices to be retained for 10 years in most member states.

The Most Common Invoice Mistakes

Missing invoice number: clients' accounting systems require a unique reference for each invoice β€” without one, payment may be held.
